Client, supplier and other business partner data

Why I process your personal data

I collect, store and use personal data for the purposes of issuing a quotation, of providing any translation and/or proofreading services that you may request, or of complying with legal requirements. I do not use your personal data for marketing purposes. Personal data collected may include your name, postal address, email address and telephone number. In exceptional cases (for the translation of personal documents), personal data may include your ID/passport number, Dutch citizen service number (BSN), date of birth or other personal information. In such cases, I will anonymise such details within two weeks of delivery of the translation.

The legal basis for the processing of your personal data is the performance of the services requested by you or the steps I am required to take in order to fulfil that request.

Who else is provided with your personal data?

If I send a text to another translator for revision or editing, the text will be anonymised in advance so that your personal data does not appear. Other parties may have access to your personal data for administrative purposes. Such parties include my accountant and the company hosting my website and email service. These parties are GDPR-compliant.

How long I retain your personal data

Data relating to quotations will be retained for a period of 12 months. For cases in which work has been carried out, I am obliged to retain your personal data for a period of five years in order to comply with tax law. I will delete email conversations after a period of five years.

Security of personal data

I have taken appropriate technical and organisational measures in order to protect your data. The measures have been selected on the basis of the technology available, the associated costs, the type of personal data I process for you and the risks associated with such data. In taking such measures, I strive to comply with the requirements set out in Article 32 of the GDPR.

Data breaches

If I should discover that there has been any breach of data security, I will inform you of that fact within 48 hours. Once you have received notification, you can decide whether to report the breach to the Dutch Data Protection Authority. I will not report the breach myself, as the legal responsibility for this lies with you.

Your data access rights

You are entitled to view, amend or delete any personal data that I hold. Please email your request directly to me and I will act upon it as soon as possible and in any case within one month of the date of your request.

Your right to complain

Should you have any concerns about how I process your personal data, please contact me. You are also entitled to submit a complaint to the supervisory authority in the Netherlands or in the country in which you reside.

This Privacy Notice was updated on 26 June 2018 and will be reviewed as and when necessary. Should there be any difference between the various language versions of this notice, the Dutch language version will prevail.
